- Drafting Difficulty Low
Work completed by drafting documents such as contracts, certified letters or statements of fact, without review by a government authority.
- 01
Confirming where and what to prove: First decide whether it goes to an administrative appeals commission, a school violence deliberation committee, an investigative agency or a court, and what fact the recording is meant to prove, to set the transcription range and key passages.
- 02
Checking that the recording is lawful: Confirm that the person who recorded took part in the conversation. A secret recording of a conversation between others cannot be used as evidence under the Protection of Communications Secrets Act, so it is screened out before transcription.
- 03
Preserving the original and recording its details: Keep the unedited original file separately and note the file name, running time, recording device and file creation date. Without the original, it is hard to answer suspicions of tampering.
- 04
Identifying speakers and marking elapsed time: Distinguish speakers by name or symbol and attach the elapsed time in the recording to each utterance. Inaudible parts are marked as inaudible rather than filled in by guesswork.
- 05
Including context and cross-checking: Transcribe the surrounding conversation rather than cutting out only the key passage, and compare the finished transcript with the original file again to correct missing words and speaker errors.
- 06
Preparing for submission: State the persons recorded, the person who recorded, the date, time and place, and the file name at the top of the transcript, and submit it with a copy of the original file. In an administrative appeal petition, quote the relevant passage and attach the transcript as documentary evidence.
